Concerning the Request Portal

Due to the restrictions of COVID-19 and the demand for equipment from the WdKA.Rental we decided to set up a webshop-like request portal so students can browse our inventory more easily and put in requests for equipment.

At its core the Request Portal functions like a regular webshop: you browse the inventory, select the items you want to rent, fill in the pick-up and return moment and finally check out your cart of items. But unlike a regular webshop, where your order is immediately approved and processed, the WdKA.Rental is a place where you can put in requests rather than place an order. This means that when you check out the items in your cart your request will not automatically be approved. Every request that is being put in through this portal is vetted by WdKA.Rental personnel and subsequently approved or denied. Upon approval and pick-up, we advise you to check all the equipment you take with you to avoid confusion or disappointment.

All students from both the Bachelor and Master degrees of Willem de Kooning Academy and Piet Zwart Institute are allowed to put in requests for equipment, this also includes students from the Arts & Crafts Associate Degree. HR students from other institutions are not allowed to rent equipment, this includes students currently following a minor at WdKA but not otherwise affiliated with WdKA.

Some devices do indeed have a yellow label with an exclamation mark on ’em, this means that the equipment is only available to select students. Depending on the piece of equipment this can mean any of the following:

  • A device requires a station skill to use.
  • A device is restricted to students of specific departments due to the nature of the machine and requires experience to operate correctly.
  • A device is prioritized towards a specific department due to its specialized nature and low stock.

Each marked device has a further explanation on its exclusivity on its respective product page. In the case of station skills, the product page will refer you to the station you need to contact.

It means that all the available pieces of equipment have been rented out by a Station and are therefore blocked off from renting. If you want to know when they’ll return, please send us an email: wdka.rental@hr.nl

Concerning request submissions

For now you can only request equipment for 14 days maximum and a preferred duration of three to six days. We aim for continuity in the pick-up and return of equipment so we can facilitate as many students as possible and to relieve general pressure from our inventory.

If you need your equipment longer than 14 days, please let us know before placing a request (either through mail or Teams) so we can see what we can do for you. Not notifying us beforehand and still placing a request with a very long rental period will definitely result in a rejection.

No, you can’t. The primary aim of the WdKA.Rental is to facilitate education-related projects of individual students, and we are therefore neither equipped nor designed for the facilitation of exhibitions (both external and internal, like the Graduation Show).

If you need equipment for an exhibition you will have to find an external party. Requests for equipment for exhibitions (including the Graduation Show) will be denied immediately.

The maximum amount of equipment you can request depends on your project and we would like to ask you to request within reason. Please do not request equipment with the idea of ‘it might come in handy’, because you will be preventing your fellow students from using those materials as we have a limited supply. If your request contains too many different devices you will be contacted by us to decide whether you genuinely need all of the requested items.

For equipment needed on the next day make sure to put in your request BEFORE 16:00, so we can still process it in time. Requests made for the next day AFTER 16:00 will be cancelled and not processed. This is a non-negotiable rule, so keep this in mind when placing a request. Placing requests after 16:00, for any other day than the following is still possible.

 

If you need equipment on Monday please make sure to place your request BEFORE 16:00 on the Friday before, so we can process the request before the weekend starts. All requests placed between Friday (16:00) and Monday (09:00) for equipment on Monday will be cancelled immediately. This is is a non-negotiable rule.

Placing requests between Friday (16:00) and Monday (09:00), for any day other than the following Monday is of course still possible.

That depends on the holiday and the type of equipment you are requesting. Please check the following list for the possibilities.

Autumn Break
All equipment is allowed, with the exception of: projectors and large sound systems (Yamaha Stagepass 500)

Christmas Holidays
All equipment is allowed, with the exception of: projectors, large sound systems (Yamaha Stagepass 500 etc).

Spring Break
All equipment is allowed, with the exception of: projectors and large sound systems (Yamaha Stagepass 500 etc).

May Break
All equipment is allowed, with the exception of: projectors and large sound systems (Yamaha Stagepass 500 etc).

Summer Break
No equipment can be rented over the Summer Break.

Yes, that’s possible provided that the person is also a student at the WdKA / PZI / A&C. We do require an email (to wdka.rental@hr.nl) from you stating the person’s name and surname, and their student number.

Concerning your rental

Unfortunately, we’ve had to implement more stringent measures because students keep missing their return dates, thereby hindering others.

Not returning your rented equipment in time (without prior notice) will thusly result in a penalty to your account and a suspension from the WdKA.Rental services. This means that you will not be allowed to use the equipment for the duration of your suspension. Please visit the following page for the consequences of a transgression: link.

Unfortunately, because our inventory is fairly small in comparison to the entire student base of the WdKA, the extension of a rental period is usually not possible. We do, however, want you to be able to finish your project properly, so to extend a rental you can do the following:

To extend a rental: Try and book the same device on the day you were supposed to return it. Upon checking out please click ‘Yes’ under the header ‘Extension’.

If your extension was denied you need to return the equipment on the date you originally picked. If the device you want to extend is not available then you obviously need to return it on the original return date as well.

Please note:
Extending equipment is only possible once. After that a cooling down period of one week is assigned to your name for that specific device. In other words: upon return you will not be allowed to rent the same device for a week.

Please refrain from coming up with constructions that bypass the rule stated above. Not only is it extremely annoying for us, it’s also plainly antisocial towards your fellow students.

No, you can’t. Extensions cannot be placed until three days before the return date. Please refrain from requesting equipment and an extension in the same order because we will cancel your entire order, and you’ll be left with nothing.

Requests for an extension placed earlier than three days before the due date will be denied immediately. The reason why you can’t request equipment and an extension in one is that it denies an equal opportunity to your fellow students to use the equipment.

No, you can’t. Due to a number of incidents we have decided to forbid taking WdKA.Rental equipment outside of The Netherlands. This also means that you are not allowed to bring equipment to the overseas Dutch territories of Aruba, Bonaire, Curaçao, Sint Maarten, Saba and Sint Eustatius). Please understand that bringing equipment abroad will result in a full ban from the WdKA.Rental’s services.

If you do really need to use equipment abroad we need written permission of your department’s head of staff. The required form can be obtained from the WdKA.Rental.

Concerning theft or loss

In case of theft we require you to file a police report as soon as possible. Once this is done, please send us a copy of the report so we can take it up further with the HR. Without a police report your rented equipment will be considered lost (for the consequences see the item below).

In case of loss you will be required to replace the lost item(s). This can be done in a number of ways: either you buy a replacement yourself or we send you an invoice for replacement.

Keep a close eye on your rented items as the cost of replacement can easily reach beyond the thousand euros!
